- Photos and media: Any images or media you send via MMS to document maintenance issues.
- Unit information: Your rental unit or property information as provided by your property manager.
- Conversation history: Records of your communications with our service for ticket tracking and context.
How We Use Your Information
We use the information we collect to:
- Process and triage your maintenance requests.
- Analyze photos using AI to categorize and assess the severity of reported issues.
- Create and manage maintenance tickets on behalf of your property manager.
- Communicate with you about the status of your maintenance requests.
- Maintain conversation history to provide context for ongoing issues.
- Improve our service and AI analysis capabilities.
Information Sharing
We share your information with:
- Property managers/landlords: Your maintenance requests, photos, and contact information are shared with your property manager to facilitate repairs.
- Service providers: We use third-party services including Twilio (SMS/MMS delivery), Google Cloud (data storage and AI analysis), and database hosting providers.
- Maintenance contractors: When dispatched by your property manager, contractors may receive relevant ticket information.
We do not sell your personal information to third parties.
Data Storage and Security
Your data is stored securely using industry-standard practices:
- Photos are stored in secure cloud storage with access controls.
- Messages and ticket data are stored in encrypted databases.
- We retain maintenance records and media for as long as necessary to provide the service and comply with legal obligations.
- Media files may be archived to long-term storage after tickets are resolved.
AI Processing
We use artificial intelligence to analyze your maintenance photos and messages. This helps us:
- Automatically categorize issues (plumbing, electrical, HVAC, etc.).
- Assess severity and urgency of reported problems.
- Generate initial triage information for property managers.
AI-generated assessments are used to assist, not replace, human decision-making by property managers.
SMS Messaging Consent and Opt-In
Our Service is initiated by tenants. You opt in to SMS communications with Public Source in the following ways:
- Tenant-initiated messaging: By sending an SMS or MMS message to our service phone number, you consent to receive SMS replies related to your maintenance request. All conversations are started by you, the tenant — we do not send unsolicited messages.
- Lease agreement disclosure: Your property manager may include disclosure in your lease agreement that maintenance communications may be conducted via SMS through our Service.
By texting our service number, you expressly consent to receive SMS and MMS messages from Public Source LLC in response to your inquiries, including maintenance request updates, status notifications, and follow-up questions related to your submitted requests.
- Message frequency: Message frequency varies based on your maintenance requests. You will only receive messages in response to conversations you initiate.
- Message and data rates: Standard message and data rates from your mobile carrier may apply.
SMS Opt-Out and Help
You can opt out of SMS messaging at any time:
- Text STOP to our service number to stop receiving all SMS messages.
- Text HELP to our service number for assistance or contact us at info@publicsource.com.
After opting out, you will receive one final confirmation message. You may opt back in at any time by texting our service number again. Opting out of SMS will not affect your ability to submit maintenance requests through other channels provided by your property manager.
We do not share your phone number or SMS opt-in consent with any third parties for marketing purposes. Your information is only shared as described in the "Information Sharing" section above.
Your Rights
You have the right to:
- Request access to the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your data, subject to our retention requirements.
- Opt out of the service by contacting your property manager.
Children's Privacy
Our service is not intended for use by individuals under 18 years of age. We do not knowingly collect information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes via SMS or through your property manager.
